Information for Speakers and Abstract Authors

  • The presentation language is English

  • E-mails with the information about the acceptance of your abstract and all important details for the preparation of your presentation were sent out on 20 February. You will also find all important information below.

  • 📲 Networking via the Conference App:
    Participants can contact you through the app to ask questions or arrange meetings to discuss your ePoster or lecture. Please make sure you are registered in the app. The App will be availabe by the End of March. You will then receive the link via e-Mail and find the download link here.

Oral Presenations (Workshops, Symposia, Plenary, Keynote, EDU)

Presentation preparation
Please create your presentation in PowerPoint and in 16:9 format. If you want to show videos in your presentation, please bring them separately on a USB stick. If you use special fonts, please also save them separately and be at the media check in time to check that they are correct.

Media Check
The media check is located in the Room Serles. Please submit your presentation to the supervised media check via USB stick at least two hours before the start of your presentation to avoid bottlenecks in data delivery. If your presentation takes place in the morning, please submit it the day before. You will have the opportunity to check your data again on site. This will ensure that your presentation is available in the lecture theatre in optimum quality.

ePoster Presentations

ePoster Presentation
As in previous years, the poster exhibition will be fully digital. There will be no paper poster walls on-site. Your poster will be displayed as an ePoster in the ePoster Area and within the Conference App.

ePoster Production

  • Format: E-posters can only be accepted as PDF files

  • The PDF file may only contain one page and must be in portrait format

  • For optimum quality we recommend 1080 px x 1920px and a resolution of 300ppi

  • Hyperlinks, animated images or videos are not permitted and cannot be displayed

  • QR codes can be integrated

ePoster Upload

  • You will receive the link to upload your poster on March 13th, 2025

  • Please upload your poster to the system by April 1st, 2025, 23:59 CET at the latest. Once the upload is done your ePoster will be shown in the ePoster Area on site and within the Conference App.

Important: E-Posters submitted by e-mail cannot be processed. Please use the Upload-Link, which we will send you on 13 March 2025

If you are also presenting your ePoster in the Poster Slams you will need to create a separate file for this purpose. Since the Poster Slams take place in the lecture halls, there are different requirements for the format. You can find more information on this under Poster Slam.

We kindly ask you to be present in the ePoster Area during breaks to answer questions and discuss your research with participants.

Poster Slam Presentation

New in 2025!
For the first time, we are introducing a Poster Slam session.
Participation is voluntary and we are delighted that so many authors have agreed to take part in the format.

Date & Time: Thursday, April 3, 2025, 2:15 PM – 3:45 PM, Lecture Halls

What to prepare:

  • A 3-minute short presentation of your abstract (concise and engaging)

  • A maximum of 3 slides (clear, without animations)

  • The microphone will be switched after 3 minutes to maintain timing

  • PowerPoint Presentation, 16:9, landscape format

📤 Submission deadline for slides: March 17, 2025
All slides will be merged into a single presentation for a smooth process on-site.

  • Important: Make sure that your file is labelled as follows: Posterslam_No_PosterNo_LastName

  • Please submit your presentation until 17 March 2025 via e-mail to Vanessa Bernhardt: kontakt@gfhev.de

Information regarding the session, room name, and the exact time of your posterslam presentation was provided by e-mail sent on February 20.


Audio Track Production for ePosters (optional)

As in previous years, we ask you to record a short audio track (maximum 1 minute) for your poster (optional). This will allow participants to view and listen to your poster in advance via the Conference App.

Please note that this must be done in the first step before you upload the e-poster PDF.

You need one of the following browsers to be able to create the recording:

  • Internet Explorer 10 or newer

  • Firefox 29 or newer

  • Chrome 36 or newer

  • Safari

In addition, Adobe Flash version 12 or later must be installed for recording. When you access the recording function for the first time, you will be asked to grant www.m-anage.com access to your microphone. You must allow access to your microphone in order to record an audio commentary via your browser.

1. To create or upload a recording, please click on ‘Poster narration recorder & Upload’ in the upload process:
2. You can use the Poster Recorder as soon as the red recording button is displayed.
3. Please press the ‘Record button’ to start your recording and the ‘Stop button’ to stop the recording.
4. As soon as you have created your recording, the system automatically links it to your poster. You can then use the narration player to listen to your recording and check its quality:

If you want to record your comment again, please delete the recording you have already made and start again with the steps mentioned above.

5.If you have already recorded a comment in an MP3 file, you can upload the MP3 by clicking on ‘Select an .mp3 file’.

Poster Award Nomination

If your ePoster has been nominated for the GfH Poster Prize you have the opportunity to win one of three awards. Following the Poster Slams (details below), all nominated posters will be evaluated by a selected jury.

Important: Please insert the medal symbol (sent via e-mail on April 4) in the TOP right-hand corner in your ePoster and Poster Slam slides. This indicates to the reviewers that your poster has been nominated for the Poster Award.

FAQ

  1. Oral Presentations: The presentation for abstracts, which has been accepted as an oral presentation (Workshop 1-9) and all other oral presentations e.g. Plenary Session, Symposia.. (except Poster Slams) must be handed in on site via the Media Check (Room Serles, ground floor). At the latest 2 hours before your presentation. Your presentation will then be automatically played in the lecture room.

  2. Poster Slam: The file for your poster slam must be sent to kontakt@gfhev.de by March 17. We need the poster slam presentation in advance, as all slides of the speakers will be summarised in one file to ensure a smooth process on site.

  3. ePoster: You will receive the link to upload your ePoster, which will be shown in the congress app and on site via the ePoster terminals, on March 13. The deadline for uploading the ePoster is April 1.

  4. If you are presenting an ePoster (shown on site and in the conference app) and a Poster Slams, you will need to create 2 separate files for this purpose. Since the Poster Slams take place in in the lecture rooms there are different requirements for the format. You can find more information on this under ePoster Production and Poster Slams above.
